How long does it take to get running?

Accepted Answer

A single shop with a clean product list is usually selling the same day. A multi-branch business with existing stock, supplier balances and an accounting migration typically takes one to three weeks, most of which is data preparation rather than software configuration. Our onboarding team gives you a realistic timeline after looking at your data, not before.

Can I import my existing data?

Yes - products, variants, barcodes, costs, opening stock, customers, suppliers and outstanding balances. Bring whatever format you have, including an untidy Excel file. Mapping messy data is a normal part of our onboarding rather than an exception.

Do I need new hardware?

Usually not. SumPOS runs on Android tablets and phones, iPhones and iPads, Windows and macOS computers, and in any modern browser. Most standard barcode scanners, ESC/POS thermal printers, cash drawers and scales work as they are. Send us your model numbers and we will confirm before you spend anything.

Is there a free trial?

There is a free plan with no time limit for a single register, and a full-feature trial of the paid plans. No card is required to start either.

Does it work without an internet connection?

Accepted Answer

Yes, and this is a design principle rather than a fallback. The till holds a real local database and writes every transaction locally first. Checkout, returns, held bills, customer lookup, loyalty balances, printing and shift close all work offline. Sync happens in the background when connectivity returns.

Is accounting really included, or is it a sales summary?

It is a genuine double-entry general ledger with a chart of accounts you control, automatic journals from operations, manual and recurring entries, bank reconciliation, and full financial statements. You can drill from any figure on the balance sheet back to the receipt that created it.

Can I run several businesses or brands from one login?

Yes. Multiple companies, multiple brands and multiple locations are all supported, with consolidated reporting across them and data isolation where you need it - franchise setups being the common case.

What languages does SumPOS support?

English, German, French, Spanish, Italian, Dutch, Polish and Portuguese, with more added on customer demand - plus full right-to-left layout for Arabic. You can run the interface in one language and print receipts in another, which is what multinational groups and tourist-heavy sites actually need.

Do you have a kitchen display system?

Yes, and it is part of the free core rather than an add-on. Station-based ticket routing, course pacing, prep timers, bump and recall, and a sold-out toggle the line can use directly.

Is SumPOS really free?

Accepted Answer

The core point of sale is free forever - unlimited registers, unlimited stores, unlimited products and unlimited transactions, with no card required and no expiry date. The free plan keeps 90 days of sales history, and the heavier back-office modules are paid add-ons. A single shop billing customers, printing receipts and tracking stock can run on it indefinitely.

How do you make money then?

From add-ons - purchase orders, accounting, payroll, e-invoicing, online ordering - bought by businesses that have grown past a single counter. We do not sell data, we take no percentage of your sales, and we make nothing from steering you toward a payment processor. Those are the three usual ways free software pays for itself, and we have closed all of them off.

How are add-ons priced?

Per store or, for Team & Payroll, per employee. They start at $5 per store per month and every one has a 14-day free trial. Add-ons are enabled per store, so you can run Advanced Inventory in your main branch and leave a kiosk on the free core.

Do you take a percentage of sales?

Accepted Answer

No. No transaction fees, no commission on online orders, and no cut of your card processing. You keep your own payment provider and whatever rate you negotiated.

Can I cancel any time?

Yes. There is no contract and no notice period. Switch an add-on off and it stops billing at the end of the period; your data stays intact and becomes read-only rather than being deleted.

What currencies do you bill in?

Prices are shown in USD for clarity. We bill in EUR, GBP and USD, plus several other local currencies at a rate set for each market.

Which e-invoicing mandates does SumPOS support?

Accepted Answer

SumPOS generates structured invoices to the EN 16931 European standard and routes them through the network each country requires - Peppol for Belgium, the Netherlands, Ireland and the Nordics; KSeF in Poland; the Sistema di Interscambio in Italy; a PDP for France with Factur-X; XRechnung and ZUGFeRD in Germany; and Verifactu-compatible records in Spain. Saudi Arabia's ZATCA Phase 2 and Pakistan's FBR are also live for customers who trade there.

My country's mandate has not started yet. Do I need this now?

Probably not, and we will say so rather than sell you a module early. Stay on the free core, and we will email you when a date that affects your business is approaching. The add-on can be switched on in an afternoon when it becomes relevant.

How does US sales tax work in SumPOS?

Accepted Answer

Destination-based rates across state, county, city and special districts, with product taxability categories, exemption certificates and tax holidays. Economic nexus is monitored per state so you are warned before you cross a threshold rather than after, and liability reports come out filing-ready per state and period.

What happens if a government clearance server is down?

You keep selling. The invoice is written locally and held in a signed queue that transmits automatically when the service returns, in the order the sales happened. The queue is visible and countable, so you can show an inspector exactly what was sent and when.

Are you PCI DSS compliant?

Accepted Answer

Card data never enters SumPOS. Payments run through your provider's terminal or gateway and we store only an amount, a status and a tokenised reference. That keeps sensitive card data out of your point of sale entirely and substantially reduces your own PCI scope. Our own infrastructure is built to align with PCI DSS 4.0.1 controls.

Can my accountant have access?

Accepted Answer

Yes, with a role scoped to exactly what they need. A common configuration gives an external accountant the ledger, reports and tax modules with no access to payroll or customer contact details.

Who owns my data?

You do, unambiguously. You can export it at any time in a structured, machine-readable format, and that right is written into our terms rather than left to goodwill.

Where is my data stored?

In managed cloud infrastructure with encryption at rest and in transit. Enterprise customers can choose a specific region for data residency, or an on-premise deployment where regulation or preference requires it.

What happens if SumPOS goes out of business?

A fair question that most vendors dodge. Your data remains exportable at all times, our export format is documented rather than proprietary, and Enterprise agreements can include a source code escrow arrangement.
